I realized that I had little visibility on the hours actually worked

Limpez'Ana Services is a family cleaning company based in Bouc-Bel-Air in the Bouches du Rhône department, offering cleaning services for professionals and individuals. Launched by Madame Antunes about ten years ago, it was her son Luis Antunes who took over with the ambition of rapidly growing the business.

With a dynamic team of more than ten employees and a commitment to the quality of their services, Limpez'Ana Services has chosen Skello to support them in the management of their teams. In particular through schedule management and mobile clocking, to orchestrate services for their various customers on a daily basis (restaurants, building associations, individuals, hotels, etc.).

We talked to Luis, manager of Limpez'Ana Services, about this.

Before the mobile clocking device: little visibility on the hours actually worked

Before adopting Skello, Limpez'Ana Services faced major challenges in terms of managing the schedules and controlling the hours worked of its employees. Using tools like Excel to collect employee working time led to considerable errors and time wastes. In addition, the precise control of the hours worked for individuals was crucial to bill customers according to the duration of the service and to draw up pay slips that reflect the reality of the hours worked.

Before Skello, it was still the old fashioned way, with Excel schedules and employees putting what they wanted on them. I realized that I had little visibility into the hours my employees actually worked.
I need the exact time spent by my employees at private homes, because I bill individuals by the hour. Besides, I also wanted to be able to precisely track the hours worked to establish their payrolls afterwards.

Automatic collection of hours worked with Skello

As soon as Skello was implemented, Luis Antunes observed that accurate score data allowed employees to focus only on their work and reduce their mental load. In addition, the implementation of the clocking device has considerably limited unjustified overtime, offering better visibility for customer billing.

I told them, “You just need to badge, leave a comment, if there's anything, and I got it instantly. And you no longer need to call me to tell me the customer said this or that. You no longer need to count your hours every time. I'll get the hours right away, and on time.”
Since I got Skello, there has been a real drop in overtime.

Real-time mission management with Skello

The real turning point was in the management of missions. Thanks to Skello, the manager can plan and adapt the day's missions in real time, based on the time spent by his employees with customers. Employees can now report important information directly from the application, which has allowed greater autonomy for teams and better fluidity in exchanges.

The fact that they have access to their intervention schedule on their mobile app beforehand, prevents them from waiting for Monday morning for me to communicate to them and print the schedule at the same time. When I change my schedule, I don't have to call [to let them know].
Everything has to go as fast as possible, for everyone. I track their progress in real time, because sometimes they can work a lot more hours with a client than expected. So automatically, I change the schedules of the following customers so that they can sign at the right time, for the right mission.

Limpez'Ana Services, convinced by Skello, introduced the change gradually with the help of an internal ambassador.

The decision to adopt Skello came after nearly a year of looking for a solution that was fluid, easy and adapted to the needs of the business.

The cleaning company waited for the right moment to introduce the change, taking into account legal regulations and the need to gradually make its employees aware of this transition. For a year I have been looking for a solution that suits me. Since my employees are on the move all the time, I wanted a tool that was very easy for them, the most fluid for them. And for my part, I needed a tool that adapted to my operation, that could be adapted to the management of my team on a daily basis.
For a month, I only gave the tool to one person who did the day and the evening so that we could see how it could work in the easiest way possible for them. In the meantime, I started to prepare the teams for the fact that a badger was coming. On D-Day, it was the person who had been testing for one month a year who did the general training of the team. It's better when employees demonstrate the value of the tool, rather than management.
They understood everything instantly. I did the training on Saturday, but on Monday, they started scoring correctly, it was instant.
